Who we are

EHCPwise is published by Voylian Limited, a private limited company registered in Northern Ireland under company number NI742449, whose registered office is at 4 Abbey Close, Greyabbey, Newtownards, Northern Ireland, BT22 2SD. Where this policy says “we”, it means Voylian Limited. You can contact us at [email protected].

Overview

EHCPwise (“the App”) helps parents, carers and young people in England follow the statutory Education, Health and Care (EHC) needs assessment process. It records the dates of local authority correspondence and statutory deadlines, and suggests next steps if the local authority does not meet them. This policy explains how the App handles information.

EHCPwise stores all of your information on your own device. We do not collect, receive, transmit or store any of it on any server, cloud service or database we operate.

Information you enter, and where it lives

So that the App can be useful, you may choose to enter details such as the child or young person’s name, the name of your local authority, caseworker contact details, the dates of correspondence and deadlines, notes about calls and meetings, and copies of documents such as reports or letters.

All of this is written only to storage inside the App on your phone or tablet. It is not sent to us and it is not sent to anyone else. In practice this means:

  • We have no access to it. We cannot see it, retrieve it, restore it or share it, because it never reaches us.
  • It is not used for advertising, profiling, analytics or any other purpose.
  • If you delete the App, this information is removed from your device with it, unless your device has a separate backup system enabled. See “Device backups” below.
  • You can erase everything at any time from the App’s settings, using “Delete all data”.

If you choose to export a case summary, share a document, or send a letter by email, that action is carried out by your own device using the apps you pick, and you decide who receives it. The App does not send anything on its own.

What we do not collect

We do not collect, and have no way of collecting:

  • Any information about the child or young person, including their name, their needs, or any health, care or education details
  • Names or contact details of you or anyone else
  • Location data
  • Usage analytics, crash reporting or behavioural tracking
  • Advertising identifiers

Device backups

Some devices automatically back up app data to a cloud service run by the device manufacturer, for example Apple iCloud or Google Drive, depending on your settings. That backup is handled by your device’s operating system rather than by EHCPwise, and it is covered by that provider’s own privacy policy. You can control it in your device settings.

The App also lets you create your own backup file. That file is encrypted with a passphrase you choose, and it is saved or shared only where you send it.

App store information

When you download EHCPwise, Apple’s App Store or Google Play may collect limited technical information, such as device type or download data, as part of running their stores. That is governed by Apple’s and Google’s own privacy policies rather than this one.

Payments

If paid features are offered in the App in future, payment would be handled directly by Apple’s App Store or Google Play billing. We would not receive or store your payment card details.

Children’s privacy

EHCPwise is intended for use by parents, carers, young people aged 16 and over, and professionals. No information about a child is ever transmitted to us or to any third party by the App.

Your rights

Data protection law gives you rights over personal data held about you, including the right to see it, correct it and have it erased. Because we hold no personal data about you or your child at all, there is nothing for us to disclose, correct or delete. The information in the App is under your direct control on your own device, and can be edited or erased there at any time.

Changes to this policy

If we ever change how the App handles information, for example by adding optional cloud sync, we will update this policy and make the change clear inside the App before any new collection begins.
